Melbourne AKU Futsal Club (AKU PTY LTD, ABN 52 642 191 937, trading as 'AKU FC', 'we', 'us', 'our') respects your privacy and that of the children and families who take part in our programs, including our school holiday clinics. This Privacy Policy explains what personal information we collect, how we use and store it, and the choices you have.
1. What information we collect
When you book a holiday clinic, register for a program, or contact us, we may collect:

The parent/guardian's name, email address, and phone number

The participant's (child's) name, age or date of birth, and gender

Relevant medical information, allergies, or additional needs you choose to share with us, so our coaches can support your child safely

Payment information, which is collected and processed securely by our website's payment provider — AKU FC does not directly store full card details

2. Why we collect it
We collect this information to:

Process and manage your booking, including confirming places and contacting you about session details or changes

Keep participants safe during clinics, including responding appropriately to medical needs, allergies or emergencies

Communicate with you about your booking, including changes, cancellations or refunds

Invite you to future AKU FC programs, including Academy and Elite pathways, where relevant

Promote AKU FC and our programs, including through photos and videos from clinics (where consented to — see Section 5)

3. Children's personal information
Holiday clinics are designed for children aged 5–13. We collect children's personal information directly from a parent or legal guardian at the time of booking, not from the child themselves. By providing your child's information, you are consenting, as their parent or guardian, to its collection and use as described in this Policy.
We only collect the information about a child that is reasonably necessary for them to safely and properly take part in a clinic (for example, age, medical needs and emergency contacts). We do not seek out unnecessary personal details, and we don't knowingly collect personal information directly from children online without parental involvement.
4. Sharing your information
We do not sell personal information. We may share personal information with:

Our coaches and staff, on a need-to-know basis, so they can run sessions safely (for example, sharing relevant medical information with the lead coach for that session)

Our website and payment platform providers (such as Wix and its payment processing partners), who process bookings and payments on our behalf

Emergency services or medical professionals, if needed to respond to an injury or medical event during a clinic

Venue staff (such as school administration), where necessary for access, safety or duty-of-care purposes at the clinic location

Regulatory or government bodies, where we are required to by law
We do not share participant personal information with third parties for their own marketing purposes.
5. Photos, video and marketing

We may take photos and video during holiday clinics for use in AKU FC's marketing, including our website and social media channels (Instagram and Facebook).

By booking a clinic, you consent to your child being included in this photography/videography, unless you tell us otherwise in writing before the clinic begins. You can withdraw this consent at any time by contacting us — see Section 9.

We do not publish a participant's surname or other identifying details (such as their school or home address) alongside photos or videos without your separate, specific consent.

If you'd like a photo or video removed after it has been published, contact us and we will action this promptly.
6. How we store and protect your information
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access. Booking and payment information is stored and processed through our website platform (Wix) and its payment partners, which maintain their own security measures. Information such as medical details and emergency contacts collected for clinic days is accessible only to those involved in running and supervising the relevant session.
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including any period required to meet legal, insurance, or accounting obligations, after which it is securely deleted or de-identified.
7. Cookies and our website
Our website is built on the Wix platform, which may use cookies and similar technologies to operate the site and understand how visitors use it. You can control cookies through your browser settings. 8. Access, correction and complaints
You can ask us to access or correct the personal information we hold about you or your child at any time, by contacting us using the details in Section 9. We will respond within a reasonable time.
